Executive Assistant

Job Purpose: CCS Fundraising is seeking a self-motivated, reliable, and detail-oriented Executive Assistant to help support our Central United States leadership team. The Executive Assistant will lead in all scheduling, coordinate travel, process expenses, manage vendor relationships, and offer additional support to operations, as needed. The ideal candidate is a highly resourceful, detail-oriented, professional, and capable of managing their workload and prioritizing tasks in a fast-paced, deadline-driven corporate environment.   • Manage day-to-day operations of the office, including taking calls, interfacing with clients and CCS personnel, and responding to emails
  • Provide scheduling, travel, and expense processing support to a team of two regional executives; areas of focus include:
    • Interfacing with internal and external audiences to schedule meetings
    • Managing the complex calendars of the executive team
    • Making travel and hotel reservations; including tracking airline credits and rewards programs
    • Preparing timely expense reports and cash reimbursement requests
    • Participating in weekly executive meetings to provide insight on schedules and support the facilitation of next steps
  • Manage all office vendor relationships
  • Upload and track key documents and information in company-wide databases 
  • Provide contract tracking and administration; including adherence to specific state requirements; liaison weekly with operations on unsigned contracts
  • Develop and sustain a level of professionalism, among staff and clientele, consistent with the firm’s mission and values
  • Additional duties as assigned

Skills include:

  • Prior experience serving as an Executive Assistant, Office Manager, or in business development or similarly focused position
  • Proficient in Microsoft Office, with the ability to become familiar with firm-wide specific programs and software
  • High attention to detail
  • Strong organizational, project management, and problem-solving skills
  • Impeccable multi-tasking abilities
  • Friendly and professional demeanor
  • Experience with Concur preferred
